How to Use a Spreadsheet to Organize Your Craft Files Inventory?

So, today we are back to talk about this super cool and life-saving spreadsheet for inventory. I use them to keep a track of all of my SVG craft files I purchase online. Even though filling out this spreadsheet every time I spend some bucks over the internet gets in the way of me and procrastination (HAHA) but oh- the way it has helped me out since I have started using it!

 

Before this wonder came into my life, I often used to forget about most of my purchases. I wouldn’t know about these SVG craft files until I cleared up my hard drive or browsing the web to find the same thing.

 

Loving to craft and being so disorganized is not a combination that comes in handy. So, this is what I use to keep a record of all my purchases in one place. I’m gonna attach the link here too for you to give it a look. Although it appears to be a little complex at first however, I am going to explain it to you thoroughly in the next few paragraphs.

Before we get started, I want you to Click Open this FREE SPREADSHEET so that you can have an idea of what I am going to talk about next!

We’ll go through each of the columns one by one and I’ll explain the use of it thoroughly.

 

Name of File

This is the first column that you will be seeing. No explanations are needed, all you have to do is type in the name of the file you are recording. Although I’d share a small tip that I follow. Make sure to name your file with the same name that it is saved on your computer. This way it will be a lot easier to find your SVG craft files whenever you need them!

Price

In this column you mention the price at which you bought your file. This means your cost of purchase will be mentioned here. This is going to help you in remembering how much you spent in purchases.

 

For calculating the costs and prices, I use this Pricing Spreadsheet. You can check that too. It definitely going to help you in pricing your products while calculating everything from your cost price to your profits!

Source Website

Okay, so the next three tabs mention the most common websites from where people usually purchase their SVG craft files from. If you bought yours from one of these, check the box in that column. If not, you can always add another column to the spreadsheet for the website you made your purchase from. It’s a great tip to have this information with you for future reference.

Active

The tabs in the active column are for you to keep track of if you have that design listed to sell. It’s a cool reminder to know which of your designs are already utilized and actively selling and which still need to be used!

Advertising

The advertising column is going to help you remember the platforms where you marketed this design. It can be your Facebook page, Instagram account, or any other buying and selling group!

Design

This column is for you to organize your file according to their design type for instance if it is an SVG or graphic.

Commercial

This column is super important as it is gonna help you keep a record if your file has commercial use or not which means that you can make products out of those designs and sell them!

Before we start searching for free SVG files. I think it would be better to have a short intro on what SVG files are. So, SVG is short for “Scalable Vector Graphics”. It is a type of XML file that helps upload two-dimensional graphic files on the internet. It is used as an open world format file by graphic designers. Whether or not you’re a designer, but if you have used internet, you might have encountered with SVG files. SVG’s not only help display clear and high resolution content on the internet, but are also search engine optimized and smaller in size. All in all, SVG’s can work as a magic over the internet and has a lot to offer when it comes to visual aesthetics.

It’s no question that I absolutely ADORE mockups. I love that you can use them to promote your products without having to sink a lot of money, time, and resources into a possible product flop. They can be used time and time again with a number of designs and depending on who you shop from, you end up with a picture-perfect product EVERY TIME.

With so many mockup creators, who can you trust for a quality product? Well, I am about to share with you, my TOP 6 mockup designers. Now I wouldn’t share something unless I 100% believed in the product or have used it before. These designers are my go-to favorites so get your pen and paper out and take notes besties.

I didn’t have a lot of money for a billion color shirts and I desperately needed quality shirt mockups. I found this shop on Etsy and I have been back countless times. The quality, lighting, props – so perfect! You can see what I mean by looking at them here.

How do I use them?

Oooh! You are in luck. I just so happen to have a youtube video that you can peep to see how to use these mockup designers images to create quality proofs of what you can do without sinking money into the stock.

What about some freebies?

I understand that not everyone has a ton of money to spend right away, trust me I was right there with you! For that reason, I have compiled a list of freebies from other mockup designers that you can download right now and you can see them by visiting this blog and this one (coming soon!). The site adds freebies often, so be on the lookout!

What the swatch?! The one thing you need today for your business.

Some of the best things in life are really the simple ones – the smell of fresh laundry, the first leaf falling in autumn, your kids sleeping in on the weekend – some are naturally more reasonable than others. What if I told you that I know something super simple that has been a lifesaver for me in business and it happens to be a book. Okay, not a “book book” but more of a fold-out pamphlet. It’s a color swatch book for not only for my vinyl but also for my shirts.

Even if you don’t plan on selling your products and creating a business (but I mean why wouldn’t you? Get paid to do what you love doing anyway!) you will still benefit from getting these swatch books. I have a vinyl book for Oracal 651 and 631 as well as Siser HTV. These nifty little books come with every vinyl they offer along with a small color swatch, name, and my Siser book even comes with temperature settings. I also contacted my favorite shirt brands (Bella + Canvas, Anvil, and Next Level) directly and requested a copy of their shirt catalogs with a color swatch book as well. Now, why would you need these books? Let me tell you! Set the scene if you will, you are in the middle of creating a project and run out of green vinyl. *gasp* You check your stash and you can’t find any that matches it. You search frantically through your scrap bin – nothing. Now what? Do you remember the name of that vinyl? NOPE! Oracal won’t even give you a hint by putting the name of the color on the back either (seriously, why is this not a thing?) You can use this color swatch book to match EXACTLY what color you used and get that ordered.

If that example wasn’t enough for you, let me paint this scene. Your whole sale shirt provider ran out of Bellas in a size XL and you need TEN more! If you had swatch books, you can compare the Bellas with the Anvil and find that Anvil has a color very close that you can substitute for. (If you are selling these, make sure that you get the okay from your customer of course, but I digress).

What Do I Say?

Mock-ups are a great way to create a visual of a product that will give your customers a sense of what to expect. When it comes to selling crafts, it’s important to understand that you need to find free fonts that come with commercial use rights. Why is that important? If you are building a business or making money, you will want to have commercial use meaning the designer is allowing you to create products that you can sell or make money with. If you do not have these permissions, you run the risk of serious legal trouble. We have all heard of the horror stories of big corporations bringing the hammer down, well designers also have those rights! It’s important as artists and creators that we build each other up.

For that reason, I am bringing you some of the best places that you can visit right now and download 100% free fonts with commercial use. These sites offer the BEST quality and are totally trusted. As I mentioned in a previous blog ” Best Places For Free Files “, if you have a FAVORITE font designer, keep in mind that on Fridays, they often have a freebie available for a limited time! I also know an incredible designer that offers “$2 – Tuesday!” Although not free, her fonts are ah-mazing!

Font Bundles is the sister site of Design bundles. They offer FREE fonts every Wednesday. One font is available for a limited time, while others are added and never leave the free spot. You have to check them out by using this link here!

So Fontsy

While SF offers a lot of free craft files, they sometimes have a free font thrown in the mix. It’s certainly worth checking out! They are released every Friday and last until the following Thursday.

Creative Fabrica

I found Creative Fabrica when they were hosting their Daily font giveaway. It was SO amazing collecting a new font every day. While they don’t have that program available anymore, they did up the game by hosting their “Daily Gifts”. Daily gifts allow designers to download a free font, SVG, and clip art EVERY day! On top of that, they also have a regular free section (linked below). Creative Fabrica is one of my first stops in the morning when I sit down and you should check it out also.

Font Squirrel

Font Squirrel was one of those go-to places in college. My prof. raved about it and after a few months, I was hooked on their free section. These files are of high quality and they are free.

Some Cool Font Tools

Now that you have these fonts, I need to share with you two awesome places to go. The first one is a way to see all of your fonts! Word Mark It allows you to view all of your fonts by typing in a letter, word, or phase. It uses Flash to sort through your fonts, shows you what you have, and you can even click to “hold” the font and compare it against others. This tool has saved me numerous times and I know what it will be a favorite of yours once you check it out.

The next cool font tool is called What The Font. You can upload just about any photo and get an idea of similar fonts from the photo. Now, this doesn’t always work, but it’s a good spot to start your search when you spot a font you love.

Proceed With Caution!

These next sites you will need to proceed with caution, however, they are still great sites to have on your list of hot font spots.

DaFont

Da Font is a HUGE site with a lot of free fonts, but not all free fonts are created equally! You will want to filter out your search results to make sure that if you are selling you are ONLY getting the ones that are 100% free! “Free for personal use” is not okay if you are selling the end product. As tempting as it is to download it, don’t. Unless you are really good at remembering what was commercial or person fonts, it’s best to just leave it be.

1001 Free Fonts

Another site like “dafont”, 10001FreeFonts is a site that you really want to check out. Make sure you are looking at the licensing for each file before you download it. If in doubt, LEAVE IT OUT!

My Designs In The Chaos is what I consider a hidden gem. She offers not only tutorials but free crafting files in a lot of her blog posts (I would say all, but I don’t think I have gone back that far to say without a doubt). You will want to browse her blog as that is where her free files are hidden! Her files are always so cute and totally relatable! You can check out all of her designs here.

Kitaleigh

Most known for her typography skills, Kita has her own section on the web with free files. You can find them using the link below. I have to be honest, I might have stocked up on all of her free mockups. Outside of the free files, her blog (-ish) is incredible! She works with a lazer cutter and seeing it in action is SO cool! When you are starting a business or just doing this as a hobby, getting supplies is one of the beginning steps. However, if you are doing this as a hobby or a quick gift for a friend, getting the most BANG for your buck may not be on the top of your noggin. We all know about the popular craft stores like Micheals and Hobby Lobby, but they are not always wallet-friendly. With the convenience of online shopping combined with the already hectic schedules a lot of us have, we need to have those reliable suppliers that we can just simply place an order with and get our merchandise in the mail. With so many options though, who can you trust? It’s so important to find your trusted suppliers since anyone can make a site.

Once you start searching for things, you will notice that Facebook Adspops up various places and the first thing that runs through your mind “Is too good to be true?” (I see you FB! I am on to you!). Being in numerous groups for Etsy, Crafting, and Cricut I have seen my fair share of “Where can I buy” posts. Glancing over and reading the comments, taking mental notes, I have found that often times there can be bad businesses who over promise and under deliver. However, time and time again I have seen a number of businesses pop up as “So and So is LEGIT!”. So this post is going to show you those businesses – those TRUSTED SUPPLIERS!. Below you will find a compiled list of the “Too Legit To Quit” Businesses that can be trusted with your Crafting Needs.

  • 651 Vinyl – Troy and his team at 651 Vinyl are located in KY and I have been buying from them for some time now. Their customer service is amazing and I love their “pin-pins” for weeding. Sales do not come often, so if you are lucky enough to catch one, go crazy! If you join their FB group, they also do grab boxes that are PACKED with vinyl but those go so quick.
